Service Desk Administrator
This role sits at the heart of our maintenance operation, acting as the key coordination point between our accommodation sites, in-house engineers, contractors and suppliers.

Contract: Permanent, full-time, 40 hours per week.
Working Hours: Office based, flexible working hours. 1 working day a week at home if desired.
Salary: £28,000 - £30,000 (dependant on experience)

Vita Student's Service Desk Administrator
The Service Desk Administrator plays a key role within the Centralised Operations team, helping to deliver an exceptional living experience across the Vita Student portfolio. Acting as the central coordination point for maintenance activity, this role supports sites, engineers, contractors and suppliers to ensure repairs are managed efficiently, communication remains clear, and service standards are consistently achieved.
Manage maintenance requests from start to finish, ensuring issues are resolved efficiently and residents receive a great experience.
Review, prioritise and coordinate repair requests through our CAFM software, INVIDA.
Schedule works and collaborate with in-house engineers, contractors and suppliers to keep jobs moving.
Act as a key point of contact for maintenance queries, providing timely updates and support to site teams.
Monitor ticket progress, follow up on outstanding actions, and ensure accurate completion records are maintained.
Coordinate quotations, approvals, purchase orders and site access arrangements to support effective service delivery.
Maintain accurate records, documentation and compliance information within our systems.
Support the procurement of maintenance services, parts and equipment.
Take ownership of your workload, ensuring service levels, response times and quality standards are consistently achieved.
Identify opportunities to improve processes, systems and ways of working as we continue to develop our service desk function.

A highly organised and proactive individual who enjoys bringing structure to busy environments and keeping multiple priorities on track. You'll be a confident communicator who builds positive relationships with colleagues, contractors and suppliers, takes ownership of tasks, and enjoys finding solutions to problems.
Professional Experience
Previous administration experience in a busy and fast-moving environment.
Excellent attention to detail and a commitment to accurate record keeping.
Confidence using Microsoft Office, particularly Excel and Outlook, and a willingness to learn new systems.
Strong communication skills, with the ability to build positive relationships with a range of people.
A proactive and solutions-focused approach when faced with challenges.
A genuine desire to provide great service and support others.
The ability to work independently while being a positive and collaborative team member.
Desireable Experience
It would be great if you also have experience in some of the areas below, but don't worry if you don't tick every box. We're much more interested in finding someone who is organised, eager to learn, and excited to be part of our team.
Experience using a CAFM, service desk, or ticket management system, such as INVIDA, ServiceNow, Planon, Concept, or similar platforms.
Experience working within facilities management, property, maintenance, engineering, or a related environment.
A basic understanding of maintenance terminology and building services.
Experience raising purchase orders and supporting invoice processing.
Exposure to working with external suppliers, contractors, or procurement activities.
Personal Qualities and Characteristics
Strong organisational skills and the ability to manage multiple priorities effectively.
Proactive and positive, with a knack for finding solutions and getting things done.
Reliable and dependable, taking ownership of your work and following through on commitments.

An interest in maintenance, property, engineering, or facilities management would be a bonus, but it's not essential. We're much more interested in finding someone with the right attitude, a willingness to learn, and a genuine desire to contribute to a collaborative and ambitious team.
